What working with uruchom.ai looks like
Before a company entrusts us with a process, it wants to know the exact terms of the engagement. We therefore divide the work into stages, each with an agreed scope and price. We begin the next only after the agreed, measured result has been achieved.
From the first conversation to the first stage
The engagement starts with a conversation about the processes where the team loses the most time reading, retyping and comparing. We choose one process: it should handle many cases, and the result must be easy to calculate, for example as the time taken to handle one case or the number of errors that need correcting. We do not start with three or five processes. After the first measured result, further processes can begin in parallel at a pace agreed with the company. The first process shows how access will be agreed and results measured across the programme.
Before work begins, we measure the baseline: the current value of the metric. We do not start a deployment without this measurement because the effect could not be assessed reliably. Throughout the first stage, data access is read-only. Its scope is agreed with the IT department.
What we agree for each stage
Before the start, we write down the scope of each stage: the tasks to be performed by the AI layer, meaning our system that works on company data, and the company data needed to perform them. We also agree the metric and the outcome threshold. We record which number we want to improve, what level will confirm the effect and how much time is allowed. The price of a stage is fixed and covers the work done. A decision made after the measurement does not change it.
Each stage ends with one number being measured on company data and compared with the baseline. The metric is the responsibility of the person who runs the process on the company's side. We calculate the result from company data using a rule written down before the stage begins. Both sides can check the same calculation, so the result does not depend on our opinion. If the two sides assess the result differently, we carry out a joint recalculation within 30 days using the same data. If the agreed threshold is not reached, the engagement ends at that stage. The next stage does not begin, so the company does not pay for it. The fee for work already done remains payable. The measurement settles only one question: whether the next stage begins.
One number
The written rule means that once the stage is complete, the discussion is about a result that both sides can check. The criteria then do not have to be agreed a second time.
Day-to-day operation of the layer
After a successful first stage, the AI layer can stay with the company and support day-to-day work. The team can start the day with a ready list of cases that have stalled or are waiting for a decision, instead of searching for them across mailboxes and systems. An invoice error appears during entry, when it costs the least to correct; a discrepancy between an order and a delivery is visible the same day. Where machine data is available, a warning of an approaching failure appears before the machine stops. From the second stage, further build-out requires an operator: someone responsible for the day-to-day operation of the layer. We perform this role under a monthly service, priced according to the agreed scope. We operate the system, update the models and adapt it to changes in processes and regulations. The service can be cancelled at any time, but cancelling stops further build-out because the next stages depend on a running layer.
After the first month of day-to-day work, we review the usage statistics with the company. They let us judge whether the tool helps the team and whether the service still makes sense.
The exit point and what stays with the company
After any stage, the company can end the engagement, and it can cancel the monthly service at any time. The company's data and decision register then stay with the company. Cancelling the service stops the automation and the team returns to its previous way of working. The charges comprise the price of a stage and, from the second stage, a separate monthly service. External licence costs are not included in those prices. Where they are required, we record them in the agreement before the stage begins.
This model is easiest to assess using a specific process. In the contact form, identify the process that takes the most manual work in your company and the number that should change. You can also write to kontakt@uruchom.ai. Within one working day, we will send three questions about the process and propose a 45-minute call. We will prepare the first-stage outline after that call. It will contain the scope and the measurement method.
